The Challenge

Profile Plan needed help migrating their website from WordPress to HubSpot. Unable to use HubSpot for the website migration, Profile Plan chose another company for the task. Soon, they realized that the developers they hired did not possess the necessary communication skills and technical know-how to complete the project.

Profile Plan

Launched in 2011, Profile Plan is a weight loss and nutrition program that was created using science and medical research. ProfilePlan touts itself as an extension of the doctor’s office, and offers education, meal plans, and one-on-one coaching.

Because everyone is different, Profile Plan doesn’t subscribe to a one-size-fits-all solution. Instead, they have tailored food plans that take several factors into account, including dietary needs, kidney disease, diabetes, and more. The platform also has world-class coaches dedicated to setting up customers for long-term success.

Katie Herrmann

Katie Herrmann is the Director of Digital Strategy at Profile Plan. Since 2020, she has led the company’s digital marketing, search engine marketing, and email marketing strategy. Because she manages the full user experience and works to get users converted into leads, Hermann, who is also the co-founder of Cirka Performance Arts, played a pivotal role in Profile’s migration to HubSpot.

How It Started

Profile Plan needed to migrate the website from WordPress to HubSpot CMS. “We already used HubSpot CRM, and we decided to consolidate our platforms and migrate to HubSpot CMS,” says Katie Herrmann, Director of Digital Strategy at Profile Plan.

Originally, Katie hoped to use HubSpot for a website migration from WordPress, but because their website has a lot of custom functionality, HubSpot was unable to provide website migration services.

The team found a web development company to work on the migration project. However, it didn’t turn out to be as smooth as they had hoped.

“Communication was lacking. It seemed like everything was done as a one-off, and no one was looking at our website migration holistically. Their approach was inefficient and outdated. They were not using a modular development method where you can repurpose website elements,” Katie adds. “A lot of times where we were like, ‘Why would you do it this way? It was sloppy work. Even the content migration wasn’t performed properly. We realized that we needed a partner that is well-versed in HubSpot CMS. A partner who understood the environment inside-out.”

Profile started looking for a HubSpot CMS-certified agency partner. “HubL is not the most widely-used language, but we wanted a company that truly understood all of the intricacies of HubSpot CMS’ codebase,” she says. “We connected with HubBase, and after a few initial conversations, it seemed like we were speaking the same language.”

Technical Capabilities

Not only did the HubBase developer assist Profile Plan with a smooth website migration from WordPress to HubSpot CMS, but the team started handling ongoing as-needed support with all HubSpot development-related projects.

In mid-2021, Profile Plan tasked HubBase to implement online purchasing capabilities — a function it didn’t previously have — and to build a HubSpot CMS calculator.

We wanted to build a calculator and looked at HubSpot plug-ins. We couldn’t find a solution, and ultimately, every option we reviewed wouldn’t work exactly how we needed it to. We came up with a set of criteria. We provided all of the design, and the logic behind it. How to get it to function and integrate with our system was the challenge we faced, and HubBase was able to help us solve that puzzle.

HubBase developers solved this challenge by creating a custom solution using HubSpot Form Events, Hubl, JavaScript, jQuery Google Charts, custom API integrations, and a slick slider.

Detailed Communication

Katie knew she needed to hire a team that excelled at communication, was responsive, and could provide quick turnarounds.

“In many companies, there’s a project manager who’s juggling multiple clients and communicates back and forth between customers and developers,” Katie says. “And ultimately, it’s much faster if we communicate directly with the developers. We don’t need an intermediary – it takes more time. It’s great to have a point of contact and someone on the client management side, which HubBase offers, but I find it highly beneficial to be abelt talk directly to the people who are doing the work. Our HubSpot developers at HubBase do just that.”

This method also allowed for more transparency, according to Katie. She has the ability to directly ask HubBase developers about deadlines and know they will meet them. “I trust that if HubBase team says they’re going to deliver on a particular date – it’s going to happen,” she says.

Despite working with multiple HubSpot developers at HubBase, due to the large volume of their requests, the communication hasn’t been “muddy,” Kaite says. HubBase sets up dedicated Slack channels and uses Monday.com for project management. This allows for a very smooth communication. “These tools make it so easy to submit development requests on the fly. I’m also able to monitor the progress of my projects as well. When we submit our requests, whether it’s a priority or a minor edit, it generally gets done the same day or the next day.”

Final Thoughts

“It’s been a really good partnership for both the quality of work and the turnaround times,” Katie says. “Most of the time the work is already done before the specified deadline.”
